The starting point
An outbound team was researching prospects by hand. For every account, someone opened a stack of tabs: the company site, LinkedIn, a funding database, a tech-stack lookup, and two or three enrichment tools. They copied the useful facts into a spreadsheet, guessed at the ones they could not find, and moved to the next account.
It was slow, it was inconsistent, and it did not scale. Two people could research maybe 40 accounts in a morning between them, and half the fields were still blank.
What was built
The pipeline runs every new account through the same sequence automatically:
- Match. The company is identified from a domain or a name, and the core firmographic fields are filled in.
- Waterfall. Contact and company data is pulled from several providers in priority order, so a paid lookup only runs when the free one comes back empty.
- Enrich. Headcount, funding history, tech stack, and hiring signals are attached to the record.
- Score. A short rule set flags each account as a fit or not, with the reason attached.
- Write back. The finished record lands in the CRM in the right fields, ready for a rep to work.
A person still writes the messages and runs the conversations. The pipeline removes the part that was never a good use of a person: opening tabs and retyping what they found.
The result
Manual research time dropped by 70% against the old process. The team went from a shared morning of tab work to a queue of finished, scored records waiting when they logged on.
Coverage also improved. Because every account runs the same waterfall, the blank fields that used to get guessed at now get filled from a real source or flagged clearly as unknown.
