The starting point

A team's CRM was only as good as the last person who remembered to update it. New contacts came in with half their fields blank. Job titles went stale. Duplicate records piled up. Every few weeks someone lost an afternoon cleaning it, and within a month it drifted again.

What was built

The system keeps the CRM current on its own:

  1. Fill. When a contact is created or changes, missing fields like title, company, location, and seniority are filled from an enrichment source.
  2. Classify. An AI step reads the enriched record and tags it: role type, department, and whether it matches the ideal customer profile.
  3. Score. Each account gets a fit score from a rule set the team controls, so reps can sort by it.
  4. Dedupe. Likely duplicates are flagged with a suggested merge rather than merged blindly.
  5. Sync. The updates write back on a schedule, and a short log shows what changed and why.

No one types into the CRM to keep it clean anymore. People still make the judgment calls, like confirming a merge or overriding a score. The typing is gone.

The result

The change removed about 5 hours per week of manual data entry and cleanup. That time was pure overhead, so it moved straight back to client-facing work.
